Servers and NAS devices sit closer to business-critical data than most catalogue items. A wrong switch can be annoying; a wrong storage platform can strand backups, break line-of-business apps, or create a freight and warranty problem before it is even installed. This guide is a practical starting point for choosing the right path.
Server or NAS?
A NAS is usually the right fit when the job is file sharing, backup storage, camera archive, simple sync, or a shared target for desktops and small servers. It is simpler to own than a general-purpose server and tends to include storage-focused management, snapshots and backup tools.
A server is the better fit when the workload is an application, domain service, database, virtual machines, remote desktop host, or anything that needs Windows Server roles. The hardware, operating system and support agreement have to be selected together.

Usable capacity, not raw capacity
Raw drive capacity is the number printed on the drives. Usable capacity is what remains after RAID or storage-pool overhead, hot spares, snapshots and growth headroom. A four-bay NAS with four 8 TB drives is not a 32 TB business storage system.
Start with the data you need to hold today, then add retention and growth:
- active shared data;
- backup retention;
- snapshot space;
- archive or CCTV retention;
- growth horizon, usually 24 to 36 months.
Leave headroom. Running storage near full reduces options when a drive fails or when a migration is needed.
Compatibility checks
Do not assume any drive, memory module, rail kit, network card or expansion shelf is supported just because it physically fits. NAS vendors publish compatibility lists per model and firmware generation. Server vendors tie warranty and support to specific parts and service SKUs.

Backup and UPS
RAID is not backup. A practical small-business storage plan usually needs:

A NAS or server should not be sold without asking what protects it from power loss and what restores the data if the storage platform itself fails.
Freight and support
Rack servers, rackmount NAS, populated NAS bundles and larger UPS units can be heavy, high-value or awkward to ship. Regional and remote Australian freight may need insurance, signature handling or a manual carrier quote. We flag that instead of hiding it inside a flat rate.
Warranty also varies by SKU. Onsite, next-business-day and extended support terms need to be explicit, and Australian Consumer Law rights still apply because Business IT Supply is the seller of record.
What can be self-serve?
Simple desktop NAS units, NAS drives, accessories, rails, memory, NICs and UPS lines can be self-serve when the mapping is clear and the freight path is safe. If a product depends on a specific environment, serial, licence term, support entitlement or compatibility list, it belongs in quote review.
